Document Controller – Hyperscale Data Centre Projects – Dublin

As Document Controller, you will support the commercial and project management teams, ensuring all project-related documentation is accurately managed, controlled, and easily accessible. This role is crucial for maintaining compliance, supporting project delivery, and driving efficiency across complex, high-value projects.

Key Responsibilities
Manage and maintain all project documentation, including contracts, tenders, drawings, variations, and correspondence.
Utilise and maintain company document management systems, such as Autodesk and SharePoint, ensuring accuracy, compliance, and up-to-date records.
Ensure all project documents are correctly labelled, version-controlled, and stored for easy access by stakeholders.
Monitor document submission timelines and manage the tracking and reporting of approvals.
Collaborate with the commercial team to ensure all documentation related to tenders, claims, and change orders is complete and properly filed.
Liaise with subcontractors, suppliers, and external stakeholders to track required submissions and ensure compliance with project requirements.
Support project meetings by preparing reports, maintaining accurate minutes, and sharing updates with the team.
Regularly review and update document control processes to ensure alignment with evolving project needs.
Maintain strict confidentiality and data protection when handling sensitive project and client information.
Provide general administrative support to commercial and project management teams as needed.
Requirements
Diploma or certification in Business Administration, Document Control, or related field (or equivalent experience).
Previous experience as a Document Controller or Administrator within a construction or engineering environment (data centre experience highly desirable).
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) with strong IT skills.
Experience with Autodesk, SharePoint, or similar document management software (training can be provided).
Exceptional organisational skills and attention to detail.
Clear and professional communication skills, both written and verbal.
Ability to work independently while supporting a collaborative team environment in a fast-paced setting.
